
Podcast Episode 89 — The GoHighLevel Calendar and Booking Setup That Ends No-Shows for Good
Last Tuesday a brand new lead got on a call with us and started talking about her business goals in the first two minutes. No confusion, no scrolling through her email trying to remember who we were. She showed up ready.
She didn't do that on her own. Before she ever joined the call, she got a confirmation email within sixty seconds of booking, a text right after, a reminder the next day, another two hours out, and a short video telling her exactly what to expect. By the time she showed up, she already trusted us.

Link vs. System
Most people think they have their booking handled. What they actually have is one of three broken setups.
The disconnected Calendly, where every booking means manually copying someone's info into your CRM because the two tools don't talk. Start with the right calendar type. One-on-one calls use a Round Robin calendar if you have a team, or a Simple calendar if it's just you. Group calls, webinars, and workshops use a Class Booking or Collective calendar.
Set intentional availability windows instead of leaving things open to "whenever." Batch your calls into specific days, add at least 15 to 30 minutes of buffer between them so you have room to take notes and reset, and sync your personal calendar so GHL never double-books you.
Then add custom qualifying questions to your booking form. What's your business, what's your biggest challenge, what are you hoping to get from this call. It pre-qualifies the lead and it builds investment. The more effort someone puts into booking, the more likely they are to show up.
Last piece, the confirmation redirect. Send new bookings to a custom page with a short video, sixty to ninety seconds, where you introduce yourself and set expectations. That video does more for your show rate than any reminder ever will, because the person has seen your face and heard your voice before the call even starts.
The Five-Touch Automation Sequence
Set this up once and it runs on every booking, forever.
Touch one. A confirmation email within sixty seconds of booking, while the person is most engaged.
Touch two. An SMS confirmation right after, short and direct, with a reply prompt that creates a small commitment.
Touch three. A 24-hour reminder, ideally by text given how high SMS open rates run.
Touch four. A 2-hour reminder. This one catches the people who got busy or forgot, and it alone can save several calls a week.
Touch five. Pre-call content, a short video or case study that warms the person up before you ever speak.
On the CRM side, booking should automatically move the contact to a "Call Booked" pipeline stage, so your pipeline stays clean without you touching it.
And when someone still no-shows, a 3-message recovery sequence over 48 hours wins back a meaningful share of those missed calls. Friendly first message, a next-day follow-up, and a final no-pressure touch two days later. That sequence alone recovers 20 to 30 percent of no-shows.
Why Your Booking Tool and CRM Need to Live in One System
If your calendar, your email, your texting, and your lead tracking are all separate tools, you are the integration. Every booking means manual entry somewhere. Every reminder means remembering to send it yourself.
